Not just invitations.
A structured recruitment programme
from A to Z.

The difference between a half-empty event and a room full of qualified decision-makers is orchestration. Seventic combines three channels in parallel, managed by SDRs briefed on your event and your target.

01

Phone — the central channel

The SDR is briefed on your event, your key messages and your target. They call each prospect by name, present the event and secure a direct registration confirmation.

Named and confirmed registration during the call
Prospect qualification during the conversation
Handling rebounds: information requests, redirections to the right contact
Cold calling on named accounts or defined sectors
02

B2B email — registration accelerator

Our database targets the personas and account types defined with you. Each email sequence generates direct registrations and engagement signals (opens, clicks, information requests) immediately handled by the SDRs.

Precise targeting by persona, sector and company size
Client templates or sequences written by Seventic
Personalisation by industry and decision-making profile
Rebounds handled in real time by dedicated SDRs
03

LinkedIn — targeted social selling

Direct outreach to decision-maker profiles on LinkedIn to complement the email and phone invitation. A third touchpoint that reinforces presence and increases overall conversion rates.

Personalised invitation from dedicated SDR profiles
Sales Navigator targeting on priority personas
Sequences coordinated with email campaigns
Connection follow-up and reminders before the event

Our advisory role

Seventic does not produce HTML templates or invitation landing pages — that is not our core business. We do however advise on what works: the arguments to lead with for your personas, the right message format, the optimal send timing, the hooks that convert for each event type. We can work with your templates or write our own text sequences tailored to your target.

From invitation
to maximum show rate.

The registrant list is not the attendee list. Between the two, there is a structured follow-up programme that very few agencies put in place. Depending on the event format — webinar, conference, VIP dinner or large trade show — the programme activates between 3 weeks and 3 months before event day. That is where the difference between 40% and 80% attendance is made.

Phase 1
Activation

Recruitment programme launch

SDR briefing, building the target list from our database or yours, configuring email and LinkedIn sequences, writing invitation messaging. First phone calls on priority accounts. Activation lead time depends on format: 3 weeks for a webinar, 2 to 3 months for a large event or demanding VIP format.

Phone Email LinkedIn
Phase 2
Intensification

Accelerating contacts and handling rebounds

New call waves on prospects contacted but not yet registered. Real-time processing of email and LinkedIn responses — information requests, redirections, personalised follow-ups. First summary of confirmed registrations shared with your team.

Phone follow-up Rebound handling
Phase 3
Confirmation

Registrant confirmation follow-up

A few days before the event, every registered participant is re-contacted to confirm attendance. Reminder of practical information. Early detection of cancellations — allowing re-recruitment if the event has a limited capacity.

Attendance confirmation No-show reduction
Phase 4
Day before

Final reminder and securing attendance

The day before or a few hours before the event, final contact with every confirmed registrant. Reminder of the programme, connection details or physical access information. For VIP formats, this reminder can be personalised and individual. The objective is simple: turn every registration into an actual attendance.

Reminder email Personalised call if VIP
Day D
Event

Your event — a room full of qualified decision-makers

The result of all the upstream orchestration. Every participant has been personally invited, confirmed and reminded. Show rate is maximised. Your sales teams can focus entirely on animating the event.

The event
is over.
The commercial work isn't.

A B2B event is an opportunity to qualify prospects in real time — but the real commercial value is built in the days that follow. For clients who wish it, Seventic can handle post-event follow-up in a project detection and appointment setting logic.

Other clients prefer their sales teams to take over at this stage — we adapt to your organisation.

Post-event follow-up is an option, not a standard. It is defined with you before the engagement starts, based on your commercial strategy and your team's capacity.
Attendees — Show

Attendee follow-up

Attendees were present at your event. They know your offer, have seen it in action. This is the ideal moment to open a concrete commercial conversation.

Qualified appointment within 48-72 hours post-event
Qualification of project and intentions detected during the event
Transfer to your sales team with complete context dossier
No-shows

No-show recovery

A no-show is not a lost prospect. They accepted the invitation — the interest is there. A quick follow-up allows requalification and proposing an alternative.

Personalised follow-up with replay or summary if available
Requalification of project and level of interest
Project detection or next meeting proposal

C-Level recruitment for exclusive formats

Some events cannot afford generic registrants. Private dinners, executive roundtables, invitation-only summits — these formats require surgical recruitment of top-tier decision-makers.

Our SDRs know how to approach CTO, CFO, CHRO and CEO profiles at enterprise accounts — over-solicited contacts who only accept invitations that precisely match their current challenges.

Ultra-precise targeting by function and seniority level
Personalised messaging per profile and company context
Qualified database on enterprise and mid-market accounts
Named confirmation and individual follow-up to event day
Trade show organisers

C-Level visitor recruitment for trade shows

Seventic works with trade show organisers to recruit qualified high decision-making potential visitors — beyond the general visitor flow.

The objective: ensure the right profiles are in the aisles on the day — those whose presence creates value for exhibitors and for the show's reputation.

Targeted recruitment by sector, function and company size
Dedicated invitation programme for C-Level and director profiles
Registration tracking and follow-ups through to the eve of the show
Named reporting of participants recruited by Seventic

What our
clients
ask us.

Practical questions about our B2B event participant recruitment engagements.

How quickly can we activate a recruitment engagement?+
We recommend a minimum lead time of 3 weeks before the event for effective activation. Below this, briefing, targeting and sending the first sequences do not allow sufficient optimisation. For VIP and executive formats, allow 4 to 6 weeks minimum.
Can you work on our own contact database as well as yours?+
Yes, absolutely. Seventic can work on your existing contact file, our proprietary database, or both in parallel. In all cases, targeting is defined together before the start — profiles, sectors, company size, geography.
How many participants can you recruit for an event?+
Volume depends on the event format, the size of the addressable market and the available lead time. For a webinar on a broad market, we can recruit several hundred registrants. For a VIP dinner of 20, we work on a short but highly qualified list. We provide a realistic estimate during the initial brief.
Do you produce HTML templates and invitation landing pages?+
No — that is not our core business. We do however write text email sequences and call scripts, and advise on the arguments and formats that work for your event type and target personas. We work with your existing templates or with production suppliers you have appointed for the creative side.
Is post-event follow-up systematically included?+
No, it is an option defined with you before the engagement starts. Some clients prefer their sales teams to take over after the event — that is perfectly legitimate. For those who wish it, Seventic can handle follow-up with attendees and no-shows in a project detection or appointment setting logic.
